A plan can be clear on paper and still leave questions in the room
The people who will use an AI-supported workflow may have different questions about it. Ask them to rate the same five areas so you have a concrete topic to discuss. A lower rating is a reason to ask what someone had in mind.
From five ratings to a team conversation
- Gather the ratings. Ask each person to think about the workflow or pilot you're planning and rate AI fluency, workflow trust, change appetite, leadership clarity, and governance comfort from 1 to 5. A 1 means concern or low confidence; a 5 means strong readiness.
- Enter each response. In the tool, enter the person's name, select their team, and record all five ratings. You can choose a response target for planning; the map does not wait for you to reach it.
- Read the map. After three entered responses, it shows averages across the five areas for each team entered. The tool also shows an overall average and the highest- and lowest-rated areas across the responses.
These averages describe the ratings entered, not an external benchmark. If only one person is entered for a team, that team's map row reflects that person's ratings.
What should your team clarify before an AI pilot?
Take one rating into your next planning meeting and ask the person who gave it what happened in the work they were thinking about. Then use these questions to decide what to clarify or test:
- Which area received the lowest ratings, and what examples did people have in mind?
- If you entered more than one team, where do their averages differ, and what would each team need to move forward?
- What should you make clearer or test in a small pilot before expanding it?
For example, if Operations entries rate workflow trust lower than Product entries, ask which task each group would want to review themselves during the pilot.
Practical questions
Who enters the responses?
A facilitator enters each person's name, selected team, and five ratings in the tool. This is a named exercise in one browser session.
When does the team map appear?
After three responses are entered, even if you chose a higher response target. You can see the map before entering an email.
What happens if I enter an email in the tool?
After three responses, it opens more discussion guidance on that page. An AI-written addition may also appear if the service is available. The brief is not emailed or saved.
